Course Reserves Policy

The Durick Library's course reserve service is for St. Michael's faculty who wish to place required course materials on reserve for their students. Most often these materials are in high demand by many students for a short period of time, and so must be loaned for only a few hours. Reserves also allow a faculty member to provide students with controlled access to items not in the Library's own collection, such as personal copies. Since circulation records are confidential by law, faculty may not find out who has checked out a reserve item.

Before materials are placed on reserve, their use must adhere to the Saint Michael's College Copyright Policy. LIS also uses the American Library Association's Model Policy Concerning College and University Photocopying for Classroom and Library Reserve Use as a guideline for providing reserve services.

Course Reserves Procedures

Library or personal copies of books and media and copyright compliant photocopies may be placed on reserve. Space is limited on the Reserve shelves, so only those materials that are required reading, viewing, or listening for coursework are put on reserve.

To guarantee that your materials are available for the beginning of the semester, submit them no later than two weeks before the first day of classes. Once the semester has begun, allow at least three days for processing.

-Placing an Item on Reserve-

Please complete and sign a Reserve Room Submission Form, listing all items you will be placing on reserve. By signing the Reserve Room Submission Form, this certifies the professor placing materials on reserve is aware of the provisions of Copyright Law and is in compliance with them.

-Materials That Can be Placed on Reserve-

  • Library books, videos, CDs and DVDs
    Please gather together the library materials you would like on reserve for your courses. Reference books and periodicals do not circulate outside the library and are not normally placed on reserve. Please contact your library liaison with special circumstances involving these materials.

  • Books not owned by the library
    The library will attempt to purchase books needed for reserve use. You may request them using the online form or contacting the Acquisitions Department. Please be sure to indicate that the item is for reserve and the course number.

  • Personal books, videos, CDs and DVDs
    Personal copies may be placed on reserve if the library does not own it. Please mark these with your name.
    Note: Personal copies must be marked and barcoded for use with our circulation system. The library cannot assume liability for materials that are worn, torn, mutilated, or stolen.

  • Photocopies
    Faculty are responsible for providing clean photocopies. A copier with a HECON unit is available in Durick 226.

    Photocopies must include:
    -Full bibliographic citation on the cover sheet of each item to conform to the College’s Copyright Policy
    -A signed and completed Reserve Room Submission Form

    Materials submitted without the above documentation will not be processed for reserve use.

    Circulation staff will stamp all copies with a copyright notice, “Notice: This material may be protected by copyright law. (Title 17 U.S. Code)”
     

Reserves and Copyright

Most publications contain information indicating the copyright holder. Addresses of the publisher are usually listed in the front of the copyrighted material. If you need help determining copyright owner or publisher address, please ask for help at the Reference Desk or consult the links below. We have provided a sample permission letter to send a copyright holder if needed. This should be sent on SMC letterhead.  Copies of the Permission Requests should also be sent to the Reserves Desk. 

Permissions should be requested in the following situations:

  • The material placed on Reserve is being used for more than one semester
  • If you wish to put more than one copy of a copyrighted article on Reserve, even if it is the first time you are using this material for your course
  • If you wish to put more than a brief amount of copyrighted material material on Reserve as described in the College's Copyright Policy

View a Reserve List

You can search for your reserve lists in the online catalog by instructor, department, or course. As soon as items are placed on reserve, they will appear in the catalog.

Databases and Course Reserves

LIS subscribes to a number of databases that allow stable links to desired journal and newspaper articles.  Faculty may link from syllabi, email or eCollege directly to the stable URL of these articles as a method of online "course reserves"
